Privacy Policy
1. About this policy
This policy explains how Devoy Softech Private Limited handles personal information in connection with the PharmNex website, enquiries, accounts and services.
When a pharmacy uses PharmNex to manage information about its customers, patients or staff, that pharmacy remains responsible for its own collection and use of that information. Our processing responsibilities are governed by the applicable service agreement and law.
2. Information we collect
Depending on how you interact with PharmNex, we may receive:
- Enquiry information: your name, email address, phone number, pharmacy or business name, messages and callback preferences.
- Account and business information: details supplied during registration, verification, account setup and subscription management.
- Transaction information: selected plans, invoices, payment status and transaction references.
- Service information: records you or your authorised users enter into PharmNex.
- Technical information: information needed to operate and secure the service, and website usage information where analytics is enabled with your consent.
Please do not include passwords, OTPs, full card details or unnecessary patient information in enquiry forms or support messages.
3. How we use information
We use information as needed to:
- Respond to enquiries and arrange demonstrations or callbacks.
- Create, verify and manage accounts.
- Provide subscribed services and process subscription transactions.
- Investigate problems and respond to support requests.
- Protect accounts and services against misuse.
- Meet applicable legal and accounting obligations.
- Understand website usage when you accept analytics cookies.
A demo request or callback preference does not automatically reserve an appointment. Our team will confirm arrangements separately.
4. Service providers and sharing
PharmNex uses Hostinger VPS for hosting, Razorpay for payment processing, and Google Analytics for optional website analytics. Information is shared with providers as needed for the relevant purpose and under applicable arrangements.
Google Analytics is used on the production website only after analytics consent. Razorpay handles payment processing through checkout.
We may also disclose information where required by law or a valid legal process.
5. Cookies and analytics
The website uses browser storage for functions such as preferences and consent choices. Authentication-related cookies support account access.
Optional Google Analytics loads only after you accept analytics cookies. You can reject analytics and continue using the website.
We do not intentionally include names, email addresses, phone numbers, form messages, payment identifiers or organisation names in website analytics events. Analytics page addresses exclude query strings and fragments.
You can change your choice using Cookie preferences. Withdrawing consent stops further analytics collection through the website; it does not automatically erase information previously collected.
6. How long we retain information
When you cancel, your current plan continues until the end of your paid subscription period. For 30 days after that period ends, you can log in solely to download your available backup data. This window starts when the paid period ends, not when you request cancellation, and does not extend access to paid features.
After the 30-day window, you will no longer be able to log in and your pharmacy data will be deleted from our database. Account and invoice-related records will be retained as required by law.
If your subscription ends because of payment failure without a cancellation request, your account is downgraded to the Free plan instead. That event does not start the cancellation-related 30-day deletion window.
This retention period is not a promise of continued paid access or a refund window.
Enquiry messages, account records, invoices and security logs may require different retention periods.
7. Your requests and choices
You may contact us to request access to or correction of your personal information, ask about deletion, withdraw consent where applicable, or raise a privacy concern.
We may need to verify your identity before acting on a request. Some requests may be subject to legal retention duties or other applicable exceptions.
If your information was entered by a pharmacy using PharmNex, contact that pharmacy first. We can assist it with requests within our role and applicable obligations.
8. Security
We take responsibility for protecting information handled through PharmNex. No online service can guarantee absolute security.
9. Updates and contact
We will update this policy when relevant practices change and show the effective date of the revised version.
